The Executive Assistant & Board Liaison provides senior-level administrative, organizational, and event-planning support to the President & CEO and serves as the primary liaison to the Museum’s Board of Directors as well as to the Executive Team. This is a pivotal role at the heart of a fast-paced, mission-driven nonprofit, requiring discretion, strong judgment, and a proven ability to keep complex priorities moving forward with precision.
Schedule: Monday–Friday, 10:00 AM – 2:00 PM ET (20 hours/week). Flexibility required and provided.
Location: Fully Virtual
Salary Range: $45,000 - $52,000 per year.

KEY RESPONSIBILITIES:
Board Liaison & Governance
- Serve as the main point of contact for the Board of Directors and committees.
- Manage Board and committee logistics, including drafting and distributing agendas, minutes, and materials.
- Support Board onboarding and engagement, with an emphasis on OnBoard board management software.
- Track Board action items, ensuring timely follow-up and communication.
- Manage all state filings to ensure on-time reporting, and keep all organizational compliance materials organized.
Executive & Staff Support
- Provide direct administrative support to the President & CEO, including scheduling and planning.
- Draft and organize internal communications, including weekly staff meeting agendas.
- Anticipate and prioritize needs to keep leadership and staff aligned.
- Facilitate new employee onboarding and serve as key point of contact for liaising with important vendors such as IT support.
- Coordinate across all organizational departments to ensure alignment and communication.
Event Planning & Coordination
- Plan and support logistics for Board-related dinners, receptions, and speaker events.
- Help coordinate small group convenings across the U.S. in support of Museum initiatives.
- Anticipate event needs and manage details to ensure successful outcomes.
Stakeholder Engagement
- Assist with developing and managing additional stakeholder groups beyond the Board.
- Ensure strong communication across staff, Board, and external partners.
QUALIFICATIONS:
- Minimum 5 years of executive support experience.
- Experience working with nonprofit Boards is required.
- Familiarity with board software, including OnBoard, strongly preferred.
- Strong event planning and project management skills.
- Exceptional writing and communication abilities, with experience in social media posting.
- Highly organized, detail-oriented, and proactive.
- Tech-savvy and eager to learn new platforms and tools.
- High energy, collaborative mindset, and a passion for mission-driven work.
